- 1. Service Description
- To provide administrative and technical support to the Council's
decision-making process.
- The Section is responsible for the delivery of Councillors' support
services.
- The Section is also responsible for electoral registration, annual
canvass, elections, and boundary reviews.

Service Standards (General)
- All reports to be included on agendas are to be received by Democratic
Services, (in single sided, hard copy format)
and at the correct stage by the published deadline.
- We will despatch all agendas 5 clear working days before the date of the
meeting and they will also be available to view and download from our website.
- The venues we use will have disabled access. We will use a portable hearing
aid loop system and larger-print copies of agendas/minutes can be supplied on
request prior to the meeting.
- After the meeting a Decision Record will be produced within 2 working days
following the meeting and circulated to all councillors.
- We will publish and despatch the minutes of the meeting 10 working days
following the meeting.
- We will answer your telephone call in three rings and always be polite and
professional, we will deal with your query immediately, but if for any reason
we can't, we will 'phone you back as soon as possible.
- If you write to us (or fax or email) we will acknowledge it in 3 working
days and give a full reply in 10 working days, however, if the query needs more
time we will write within 10 days to let you know when you can expect a full
reply.

- Where can I find copies of previous agendas and minutes?
Copies of all agendas and minutes of Council meetings for the past six
years are kept in the Democratic Services office and can be inspected during
office hours. If you want to do some extensive research, it is best to let us
know in advance. Minutes and Agendas dating back to 1973 can be viewed at the
County Archivist Office in Winchester (please contact Democratic Services for
more details).

- Where can I find out which councillors sit on the Councils committees?
A comprehensive list setting out the name and address, political affiliation
and ward details of each EHDC councillor, together with details of all the
committees, sub-committees, panels and groups they sit on, is available on the
Democractic Services website. To look at Committee memberships.
- Which councillors are representatives on Outside Organisations?
Information on those councillors appointed to serve as the Council's
representatives on Outside Organisations are included
in the list of members' details.
- Who are the Chairmen and Vice-Chairmen of EHDC Committees?
- A comprehensive list setting out the name and address, political
affiliation and ward details of each EHDC councillor, together with details of all the committees, sub-committees, panels
and groups they sit on.

- Who is my local councillor?
Councillors represent areas within the District know as 'wards', of which
there are 39 in EHDC. You can find out which ward you live in and which
Councillor(s) represent you (if you live in East Hampshire) by following the
ward link. Details of Town and Parish Council chairmen and clerks are
available on the Central Register under the heading 'Parish/Town'.
